U.S. Staffing Agency Placement Fees and Associated Policies

The following statement of our policies and procedures regarding placement fees and equal opportunity employment are set forth and agreed to in the following terms.

Placement Fees

MathWorks will pay a placement fee of 20% of the annual base salary of the employee hired. Base salary excludes all employee benefits, bonuses, and any other incentive compensation. Placement fees will be paid within 60 days of the new-hire’s employment start date with The MathWorks. Invoices must be sent to MathWorks recruiting department for payment authorization.

Resume/CV Submittal Process

Staffing agencies are selected and engaged at the discretion of MathWorks recruiters, therefore staffing agency representatives are required to work exclusively with MathWorks recruiters, and are prohibited from contacting MathWorks managers or team members regarding staffing activities.

MathWorks does not accept unsolicited agency submittals and reserves the right to recruit and hire unsolicited submittals without consideration for agency terms and conditions.

Selected staffing agencies will receive a dedicated “Agency Portal” submittal link, unique to the agency, which must be used for each candidate submittal to help avoid representation conflicts.

  • Each submitted resume/CV must contain the applicant's name, location, and current employer, and each online submittal form requires the applicant’s personal email and telephone contact information.
  • For each submittal, the agency will receive a confirmation email indicating whether the submittal is accepted and representation is honored, or whether there is a problem causing the submittal to be rejected. MathWorks does not keep agency submitted applicant data for rejected submittals.
  • For accepted submittals, staffing agencies will be provided access to their candidate activity online through the MathWorks Agency Portal.
  • Accepted submittals are honored for a period of 180 calendar days from date of submittal, after which time MathWorks is not obligated to pay a placement fee.

In the event resumes/CV’s are received from more than one source simultaneously, MathWorks recruiting management will make the final decision regarding the honored source.

Refund Policy

The refund policy is based upon the applicant completing a ninety-day term of employment. If employment is terminated within this period, for any reason other than availability of work (e.g., layoff, redundancy), the agency will be required to reimburse MathWorks the placement fee on the following terms:

  • 100% refund from the 1st to the 61st day of employment
  • 50% refund from the 62nd to the 90th day of employment

Confidentiality and Non-Solicitation

The agency will not, during or after the term of its assignment, directly or indirectly:

  • attempt to obtain and/or disclose any information with respect to MathWorks employees (e.g., employee listings, organizational charts).
  • interfere with the business of MathWorks in any manner including the solicitation, recruiting, or hiring of any MathWorks employee.
  • disclose to any third party any information or knowledge with respect to inventions, designs, methods, systems, improvements, trade secrets or other private or confidential matters belonging to MathWorks.
